How enquiry information is handled.
Gray Matter HR is responsible for the personal information submitted through the contact and case intake forms on this website.
What is collected
Your name, work contact details, organisation, preferred response method and the information you choose to include in your message.
How it is used
The information is used to respond, assess the support required, manage the enquiry or case request and keep an appropriate business record. It is not used for unrelated marketing.
Keep the first message general
Do not include employee names, medical information, disciplinary documents or other special-category or highly sensitive information. A secure way to share necessary case material can be agreed later.
Keeping and protecting information
Form submissions are stored in a restricted case inbox and kept only for as long as needed for enquiry management, client work and applicable business or legal requirements.
Client portal sign-in
Clients can create an account using an email address and password. The email address is verified before any case records are shown. Passwords are securely handled by the account provider and are not stored in the Gray Matter HR case database. The portal uses the verified email address only to retrieve case tickets submitted with that same address.
Your choices
You can ask about the information held about you, request a correction or raise a privacy concern by using the contact form and writing “Privacy request” in the subject line.
